In conversations with our users, we consistently hear the same challenges. Purchasing and inventory management are treated as separate tasks, while problems actually arise in the transition between them: stock running out unexpectedly, materials being ordered twice, or a lack of clarity about what is still on the way. Based on these experiences and needs, we developed BarTrack 5.0, including new features such as creating pick lists, stocking inventory, and added balances. We do this from the belief that purchasing and inventory form one continuous process that should be managed from a single system. To support organizations in this, we are also introducing an AI agent in this update, which helps with setting up and using BarTrack in a way that fits their specific workflows.
In many organizations, purchasing and inventory management are still treated separately. In practice, they are inseparably connected. What you keep in stock is planned purchasing. What you purchase directly determines the reliability of your inventory.
The goal is always the same: keep inventory as low as possible without the risk of running out. This requires continuous insight into what is in stock, what is being consumed, and when reordering is needed. BarTrack 5.0 was developed based on this connection, deliberately bringing purchasing and inventory together into one logical process.
In daily practice, different forms of purchasing and consumption occur simultaneously. There is fixed inventory, project- or production-related purchasing, returned materials, and stock that needs to be automatically replenished.
BarTrack 5.0 closes this chain. Materials that are consumed directly affect inventory. Returned materials are recorded again. Based on actual usage, insight is gained into when and what needs to be reordered. This way, inventory management becomes an active part of the purchasing process, rather than a separate check afterward.
Because purchasing and inventory form a single process, that process must also be recorded where it actually takes place. Materials are picked, received, and returned on the shop floor.
BarTrack 5.0 supports this by making it easy to record daily actions, including creating pick lists, tracking stocked inventory, and generating balances. This keeps inventory up to date and ensures that the insights for purchasing and management are based on reality.
Bringing purchasing and inventory together in a single system requires proper setup, and this setup varies by organization.
That is why BarTrack 5.0 also introduces an AI agent to support onboarding and implementation.
The AI agent guides users in understanding the process, making decisions, and using BarTrack optimally within your organization. This support is always available via chat and visual guidance, tailored to the specific situation of each user.
BarTrack 5.0 is not a collection of isolated improvements, but a fundamental step in fully integrating purchasing and inventory management within a single platform.
